2. What are cookies and similar technologies?

Cookies are small pieces of information stored on a browser or device.

Websites can also use other technologies that store or access information on a device, including:

  • scripts;
  • tags;
  • pixels;
  • software-development components; and
  • similar browser or device technologies.

We refer to these collectively as “cookies and similar technologies”.

3. How we use them

We may use cookies and similar technologies for the following purposes.

Strictly necessary

These technologies are used where required to operate or secure the website or provide a feature you have requested.

They may include technologies used for:

  • website security;
  • load balancing;
  • fraud or abuse prevention;
  • maintaining a session;
  • preventing duplicate submissions; and
  • remembering your privacy or cookie choices.

Where a technology is genuinely necessary for these purposes, it may operate without optional consent.

Functional

Functional technologies support optional features of the website.

These may include an embedded scheduling service such as Calendly.

Where functional technology requires consent, it remains disabled unless you enable the relevant category.

Analytics

Analytics technologies help us understand how people use the website and improve it.

As a BTA policy, optional analytics technologies that require device storage or access will not be activated until you select the relevant option through our cookie controls, unless we have specifically determined and documented that a statutory exception applies.

Marketing

If BTA deploys advertising, remarketing or similar marketing technologies in the future, these will be separately identified and will not be activated without the consent required by applicable law.

When applicable, our cookie controls allow you to:

  • Accept all
  • Reject non-essential
  • Manage choices

Optional categories are not treated as accepted merely because you continue browsing.

Withdrawing consent does not affect processing that was lawful before withdrawal.

5. Calendly

BTA may use Calendly to allow visitors to schedule consultations.

Where Calendly is embedded in the BTA website and its technology requires consent, the embedded service will remain blocked until the appropriate functional choice has been made.

Before it loads, BTA may instead provide:

  • a privacy-preserving placeholder; and
  • a direct link to Calendly.

If you open Calendly directly, you leave the BTA website and Calendly's own privacy and cookie practices apply.

6. Airwallex payment services

BTA uses Airwallex for payment services.

Airwallex payment functionality may use security, fraud-prevention, authentication and other technologies when you open or use a payment flow.

Where the payment experience is hosted by Airwallex or another payment provider, that provider's own privacy and cookie information also applies.

Payment technologies that are genuinely necessary to complete a payment you have requested may be treated differently from optional website analytics or marketing technologies.

7. Messaging services

Links to services such as WhatsApp, Telegram or Signal do not give BTA permission to use those providers for unrelated website tracking.

When you open or use an external messaging service, that provider's own technologies, privacy notice and settings apply.

8. Current technology inventory

BTA maintains a production technology register showing every cookie or similar technology deployed through the public website.

The live inventory must identify, for each technology:

  • technical name;
  • provider;
  • domain;
  • purpose;
  • category;
  • whether it is first-party or third-party;
  • duration;
  • whether consent or another PECR basis is relied upon; and
  • whether it loads before an optional choice.

The inventory displayed on this page must be generated from or kept synchronised with the production technology register. It must not contain guessed, template or development-cookie entries.

At minimum the production audit must cover:

BTA consent-management technology

Purpose: remember and apply the visitor's cookie choices.

Category: Strictly necessary.

Retention policy: six months, unless an earlier refresh is required because BTA materially changes the technologies or purposes used.

Calendly

Include Calendly in the live inventory only where an embedded Calendly integration actually loads technology through the BTA website.

The production audit must record the exact technologies, purposes and durations actually observed.

Analytics

List the exact analytics provider and technologies only if analytics has been deployed.

Do not publish generic Google Analytics, Vercel Analytics, Hotjar, Microsoft Clarity or other entries unless that technology is actually present on the production website.

Marketing

List this category only if marketing or advertising technology has actually been deployed.

Airwallex

Where the customer is redirected to an external Airwallex-hosted payment environment, Airwallex's technologies are governed primarily by the payment environment's own notices and should not be misrepresented as BTA-site cookies.

If Airwallex technology is embedded directly into biztravelassistant.com, the production audit must identify the relevant technologies and their purpose.

9. Production inventory table

The website renders the actual audited production register. It must not contain guessed, template or development-cookie entries.

The current verified production entry is shown below. Optional categories with no verified deployment state None currently deployed.

10. Changing your choices

Use Cookie settings in the website footer to:

  • review your choices;
  • enable or disable optional categories;
  • reject non-essential technologies; or
  • withdraw a previous consent.

Where technically possible, BTA will stop future optional storage or access promptly after you withdraw the relevant choice.

11. How long choices are remembered

BTA normally remembers a cookie preference for six months.

We may ask you again sooner if:

  • technologies materially change;
  • purposes materially change;
  • a new provider is introduced in a way requiring a new choice; or
  • a legal or regulatory change requires a new decision.

12. Changes to this notice

We may update this Cookie Notice where:

  • website technologies change;
  • providers change;
  • purposes change; or
  • applicable legal requirements change.

The latest version and date will appear on this page.
